Nummbas Books

Nummbas Books is bookkeeping inside Nummbas. It comes with every plan. You can keep your own books, or invite your bookkeeper or accountant to work in them. Select All navigation, then Nummbas Books. Team members with the Accountant role see Nummbas Books directly in the menu.

Get Started

The first time you open Nummbas Books, choose how you want to keep your books. Only an owner or admin can make this choice.

  • Keep QuickBooks or Xero. Your books stay in QuickBooks or Xero. Nummbas Books sends them a summary of each payout.
  • Move to Nummbas Books. Bring your books over from QuickBooks, Xero, Wave, Zoho Books, MYOB, Sage 50 or a spreadsheet, or start fresh. A move brings account balances, unpaid invoices and bills, and customers and suppliers. A move from QuickBooks or Xero also brings monthly totals for up to ten years.

If You Keep QuickBooks or Xero

Nummbas Books shows Home, Summaries and Settings.

  • Payout summaries lists each payout from Shopify Payments, Stripe, Square and eBay, split into sales, fees, refunds and tax. A payout that crosses a month end has a part for each month.
  • Accounts to use is where you choose the QuickBooks or Xero account for each part.
  • Sending is where you turn sending on. Nothing goes to QuickBooks or Xero until you do. If you use inventory management, you can also turn on Stock and cost of goods here to send each month of stock and cost of goods as one entry.
  • Settings has Connected accounts, Activity log and Get started, where you can move your books to Nummbas Books later.

When you send summaries to Xero, Xero asks you to let Nummbas create invoices, credit notes and contacts.

After You Move Your Books to Nummbas Books

The menu has these groups:

  • Transactions: All transactions, To review, Payouts, and Receipts and invoices.
  • Invoices and bills: Invoices, Quotes, Bills, Customers and vendors, and Recurring.
  • Accounting: Close, Reconciliation, Journal entries, Chart of accounts, Fixed assets, Sales tax and Documents.
  • Reports: Profit and loss, Profit by channel, Balance sheet, Cash flow, Trial balance, General ledger, Contractor payments and Tax summary.
  • Settings: General, Rules, Connected accounts, Budgets, Import and export, and Activity log.

Payouts and Bank Matching

Nummbas Books splits each payout into sales, fees, refunds and tax. It links each bank deposit to its payout and pairs transfers between your own accounts. For other bank lines, your rules and past choices pick the account. Nummbas-FO records a line on its own when it is under your limit and the evidence agrees, and suggests an account for the rest. Change this in Settings > Rules under What Nummbas-FO does. Bank lines that need your review wait in To review. You match payments to invoices and bills yourself. Add a rule in Settings > Rules for lines that repeat.

Receipts and Bills

Add a receipt or bill in Receipts and invoices. You can upload it, forward it to your receipts email address, open the phone link, or use the Nummbas app. AI reads the supplier, dates, total and tax. Nummbas Books looks for the payment, invoice or bill it belongs to. You check it before it is recorded.

Invoices and Online Payments

Send invoices and quotes from Invoices and bills. To let customers pay online, turn on Stripe or Square in Settings > General > Online payments. The money goes straight to your own Stripe or Square account. Nummbas never holds it.

Month-End Close

Open Close at the end of each month. Nummbas-FO prepares and reconciles the month. You review what it found and close the month. An owner or accountant can reopen a closed month.

Sales Tax, VAT and GST

Open Sales tax to set up your registrations. Nummbas Books prepares returns for the US, Canada, the UK, the EU, Australia and New Zealand, with a filing pack for each return.

Reports and Year End

Reports show your figures in your bookkeeping currency. At year end, you close the year and download one pack with its statements, general ledger and tax summary, for your tax return and your records. Nummbas Books does not file your income tax.
